iHARP conducts data-intensive research, education, outreach and cyber-infrastructure development that will transform understanding of the effects of climate change in polar regions. This institute brings together stakeholders and leading scholars in data science and polar science to reduce uncertainties in projecting Greenland and Antarctica’s future mass balance, associated sea-level rise and impacts on global communities.

Position Overview:

Reporting to the Operations and Communications Coordinator, the incumbent will plan, develop and coordinate events and workshops, assist the Director and Executive Director in research coordination efforts across multiple grants under iHARP, as well as provide administrative support to iHARP and supplemental grants.

This position will work closely with iHARP members across multiple institutions, UMBC campus partners as well as various stakeholders. The ideal candidate will be detail-oriented, self-motivated and work independently as well as a part of a larger team.

Responsibilities:

Research Coordination

  • Collaborating with the Director and Executive Director, the incumbent will coordinate research efforts across all of iHARP collaborating institutions involving senior researchers and research assistants. Support and assist the Executive Director in Open Science and Open Data efforts as needed.
  • Coordinate research efforts across supplemental grants which includes but not limited to: Data Scholars, Research Experiences for Undergraduate (REU) students, SCIPE. 
  • Support writing tasks for research staff and students. 

Event/ Workshop Coordinator:  

  • In collaboration with program directors, staff and external stakeholders, the incumbent will plan, develop and implement events (online, hybrid, in-person) for iHARP and its supplement grants. Types of events include but are not limited to Hackathons, Annual All Hands meetings, and panel discussions with participation range of 20 - 100+ attendees.
  • Manage and coordinate travel pre-approval and reimbursement process for participants of events and workshops through navigating internal systems and university policy.  

Administrative Support

  • Provide comprehensive administrative support to faculty, staff, and students, including effectively communicating updates to relevant parties. Issue contracts, health insurance and tuition remission forms for students.
  • Assist with processing various reimbursements, stipends, and procurement using the PAW system, PCard,  PeopleSoft Finance, REX Finance, or equivalent, demonstrating meticulous attention to detail for accurate review and approval.  

Other tasks as assigned

Required Minimum Qualifications:
  • Bachelor's degree and one year experience in administrative staff work.
  • Strong verbal, written communication and customer service skills.
  • Strong computer skills including the ability to adapt and learn new systems.
  • Experience with Google Suite (Docs, Sheets, Slides, etc.).
  • Demonstrated time management skills to meet deadlines and handle multiple tasks simultaneously.
  • Strong problem solving, time management and organizational skills.
  • Ability to work effectively independently and collaboratively.
  • Ability to understand, interpret, and execute complex instructions

Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Preferred Qualifications: 
  • Experience working on events and/or event management
  • Experience with coordinating and executing large scale events.
  • Experience in writing and proofreading research materials or a degree focused in writing/ technical writing. 
  • Experience with financial processes.
  • 3 years of administrative experience.

Salary:

Pay Range 09 ($46,736 – $77,077) based on the University System of Maryland (USM) Pay Program.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, Memorandum of Understanding, USM Board of Regent policies, internal equity, budget and qualifications and experience. Most salary offers will be close to the minimum part of the range.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
